Interbank transfer
Introduction
The cash flow planning report has many advantages. For
example, based on the information obtained, you can quickly identify a shortage
or surplus of cash in a specific cash instrument and make an interbank transfer to update the balance. A temporary surplus in the current bank
account can be transferred to a savings account. You can also prevent a
shortage of cash in a cash instrument by doing an interbank transfer, so you do
not have to pay interest. Another possibility is that you can decide to take
out a new loan to cover the (temporary) shortage.
The Interbank
button is used to automatically match the cash flow transaction with processed
transfers (from cash instrument A to another cash instrument B) that are
entered at Cash flow/Entries/Cash flow.
After the bank has processed
the transfer and you have registered/imported the bank statements for both cash
instruments, you can proceed to do the matching. Go to Cash flow/Entries/Cash flow, select an entry and click Edit. The matching can then be done
automatically by clicking the Interbank
button found under the Matching &
Processing section.
Before you use the Interbank
button, make sure the cash flow transaction is allocated to the default company
account code (defined in the Company
data settings). The Interbank button
is available if you have the E-Cash Flow
Management module and is enabled only when the cash flow transaction is
allocated.
Description
You can automatically match the cash
in with the cash out in this screen.
Show
Select Unmatched or ALL to view the cash flow transactions. Select Unmatched to view unmatched cash flow transactions. Select All to view all (matched and unmatched)
cash flow transactions. By default, Unmatched
is selected.
Advanced icon
Click this to
display the advanced filter section.
Supplier
By
default, this is filled with the creditor code and its description.
Amount
Select
the Amount check box to enable the search
for invoices with varying amounts. This check box is enabled only if a
transaction in the Cash / bank
section is selected. Once the Amount check box is selected, it
enables the +/- field where you can
type any variation that you want so that it is possible to search for invoices
that vary from the amount of the cash flow transaction.
Extensive
Click Extensive to do an extensive search by
using the contents of Description to
find matching invoices.
Search
Click Search to search for the invoices based
on the defined criteria.
Our ref./Your
ref./Order No.
Select
our reference, your reference or order number to search for invoices based on
either one of the selected criteria.
Our ref./Your
ref./Order No.
Type the
our reference number, your reference number, or order number that you want to
search for. This field changes according to your selection above. If you have
chosen the our reference, a green icon appears on the right of this field. You
can click on it to search for invoices based on the creditor account.
Pay. Ref.
Type the
payment reference number that you want to search for.
Run number
Type the run
number that you want to search for. This number is generated by the bank for
each processed transaction.
Date
Type the date
or date range. All transactions that fall within this date or date range will
then be available.
Group by
Group the
invoices or installments by:
- None
- Our ref.
- Payment date
- Instrument no.
- Run number
- Payment reference
- Your reference
- Order number
By default,
None is selected.
Description
Type the
description of the invoice that you want to search for.
Cash / bank section
This section
displays all transactions that match the search criteria.
Invoices section
This section
displays all invoices that match the search criteria.
Buttons
Refresh
Click Refresh to update the results according to the defined criteria.
Void
Click Void to void selected invoices. This
button will not be enabled if a transaction is selected at the same time. All
voided invoices can be viewed in the void register at System/Finance/Register/Void.
Automatically
Click Automatically to match the transactions
automatically. Once the transactions are matched, they are automatically
removed from the screen and what remains are the unmatched entries. To check if
the entries have been matched and reconciled, click on either a payment or
receipt entry in Cash flow/Entries/Cash
flow, then click Edit to view
the Entry screen. Next, click on the
Info tab. Automatic
matching will only take place if the system finds the best entry. Sometimes, if
the system fails to do so, you will need to match it manually.
Card
Click Card to view the creditor card.
Internal use
Click Internal use to open the Internal use screen. This screen allows you to generate the data that
shows internal inventory consumption. See Related
documents: Maintaining Internal Use
Requests for further details.
After clicking this, the following options are available:
- Clear - Click Clear to clear the defined criteria.
- Number of
rows - Type the number of rows to be displayed for
each page. If you have set the default number of rows to 10, then 10 rows will
be displayed.
- Resource - This field is pre-filled based on the selected cash flow
entry. It cannot be edited.
- Item code - Type or select the item code that you want to display.
Select the All check box for all
item codes.
- Date - Type or select the date or date range. All transactions
that fall within this date or date range will then be available. Select the All check box for all
dates.
- Status - Select the status of the items you want to view. You can
choose Open, Authorized, Rejected and/or
Fulfilled. You may select more than
one.
- Refresh - Click Refresh to update the results according
to the defined criteria.
- Close - Click Close to
exit.
Details
Click Details to view details of the
transaction.
Our ref.
Click Our ref. to view the complete
transaction which is part of the selected line based on the our reference
number.
Unmatch
Click Unmatch to cancel the
matching of the bank transaction from the invoice(s).
Reallocate
Click Reallocate to remove the allocated
creditor and reallocate another creditor to the cash flow transaction.
Match/Process
Click Match/Process to manually
match the bank statements to the invoice(s) and process them.
Close
Click Close to exit.
